Overview

The Senior Manager, Meetings is responsible for the planning, organizing and execution of all aspects of assigned events, both in-person and virtual. Implement strategies to achieve objectives to align with event strategy and vision. Research and recommend event venues. Coordinate meeting logistics, including attendee registration, off-site venue selection, contract negotiation and oversight, and technology. Research and maintains relationships with vendors for event support services. Develop and manage budgets for all assigned meetings and ensures that events stay within cost projections. Responsible for planning larger or more complex events. Provides supervision and guidance to 2 meetings team staff and ancillary support to other team members as needed.

Responsibilities
    Serve as the lead for event planning. Provide efficient communication among operational teams, manage the flow of the event, and serve as point person.
  • Review sites under consideration for assigned future meetings. Prepare and disseminate site evaluation reports to ACOG's Meetings and Exhibits Department and District Officers.
  • Prepare, develop, and manage meeting budgets and assist with providing data and recommendations.
  • Negotiate costs and services with vendors (e.g. security, destination management companies, transportation, printing, audiovisual, etc.); to include meeting facilities, sleeping rooms, and exhibit space for all assigned meetings.
  • Present through completion of event, prepare debrief, analyze outcomes and craft recommendations.
  • Ensure prompt steps are taken to resolve any issues that may jeopardize the success of an event.
  • Develop detailed project plans, create and manage event timelines, ensuring resource availability and allocation, and delivering all project on time within budget and scope
  • Provide leadership, direction, and management of staff, including fostering a welcoming and inclusive environment through supervising staff, providing feedback, coaching, support, mentoring, performance management, and training and development opportunities as appropriate.
  • Partner and work closely with the event point of contact to conceptualize and plan events and come up with suggestions to enhance the event's success.
  • Oversight of all ACOG meeting registration management to ensure seamless access for all participants and facilitates a smooth event experience.
  • Responsible for working with registration leads on accessing and improving registration processes.
  • Collaborate with the IT Team on sourcing new technologies for the Meetings team.
  • Managing in-house logistics for meetings. Assignment requires careful planning to staff assignment equity, coordinating arrangements with facilities, IT and the staff liaison. Attention to detail and proactive communication are essential to ensure smooth execution and minimize challenges.
  • Finalize payment of assigned invoices, both during the planning process and following the meeting.
  • Prepare meeting specifications for pre-convention and on-site specifications for the Annual Clinical and Scientific Meeting Convention Center.
  • Perform assigned Annual Clinical and Scientific Meeting tasks and duties and assist other staff with projects and assigned meetings as needed
  • Assist Sr. Director of Meetings with the critiquing, reporting and evaluation of potential future ACSM meeting locations.
  • Ability to host Virtual Meetings on Zoom, MS Teams and on other platforms as assigned.
  • Perform other duties as needed.
Qualifications
  • Bachelor's Degree
  • Minimum eight (8) years meeting planning experience either in association, hotel, or similar environment. Convention Center and Association experience is preferred.
  • Direct experience supervising and coaching direct reports preferred.
  • Certified Meeting Professional required.
  • DES preferred.
  • Candidate must possess satisfactory knowledge of computer systems and software used in the tracking and production of complex meetings. NetForum knowledge is preferred.
  • Internally motivated and detail oriented. Comfortable working under pressure with tight deadlines.
  • Ability to be diplomatic when interacting with people and handle stressful situations with composure.
  • Must demonstrate good judgment in implementing policy guidelines.
  • Detail oriented and efficient organization skills.
  • Flexibility to travel frequently, sometimes including one or both weekend days.
