Overview

The HUB Operations Coordinator is responsible for performing load planning activities and coordinating load assignments. The role is responsible for monitoring inbound and outbound freight at a HUB location, and providing guidance to station personnel regarding routings, carrier assignment and other load planning activities. This role serves as a liaison between the freight-forwarding station and the AIT Middle Mile Network HUB operation. As the representative of the AIT Middle Mile Network team, the HUB Operations Coordinator will provide the station management with communication, training, and guidance as it pertains to the HUB operation associated with the AIT Middle Mile Network by which giving the HUB Operations Coordinator the authority to document and communicate service failures, provide critiques, and provide additional trainings to the station personnel. This is considered an on-site customer facing position, and as such, the HUB Operations Coordinator must act in accordance with AIT Worldwide Logistics core values. The HUB Operations Coordinator must provide direction as to routing of the freight with the AIT Middle Mile Network's partner carriers and linehaul carriers. In conjunction with the station management, the HUB Operations Coordinator will regularly make determinations when additional loads need to be booked based upon the service dates and will coordinate with the AIT Middle Mile Network Linehaul Operations to ensure coverage of these loads.

Work shift: Fridays, Saturdays, Sundays & Mondays from 7am-6pm, 1 hour lunch

Responsibilities
    Responsible for communicating daily with station managers within the assigned geographic region to encourage and enhance usage of the AIT Middle Mile Network.
  • Identify opportunities that are being routed outside of the AIT Middle Mile Network and communicate with the owning stations to ensure the freight is injected into the AIT Middle Mile Network, if applicable.
  • Providing guidance regarding load quality and expectations of operating within the Middle Mile Network HUB operation through daily interaction with assigned location's dock personnel including supervisors and management
  • Responsible for making routing suggestions through understanding the requirements/ expectations of handling shipments of consequence - must understand service level requirements
  • Process timely and accurate updates to the AS400 with departure times and additional information as needed upon departure and arrival at assigned HUB locations
  • Coordinate daily taskings according to priorities - adjusting as necessary as more data /information is received and protecting service.
  • Provide loadouts to HUB Operations Supervisor or station personnel (depending on location assigned) for linehauls scheduled. This includes ensuring proper paperwork is attached to include AIT Middle Mile Pre-Trip Inspection Forms, and AIT Middle Mile Activity Cover Sheet. This is the beginning of the AIT Middle Mile loading and unloading activities within the HUB location.
  • Collects information regarding activity prior to shift, during shift and presents this information to the HUB Operations Supervisor or Domestic Transportation Manager (depending on location assigned).
  • Proactively communicating with customers (internal and external) regarding shipment status to provide best in class customer service
  • Conduct investigations regarding misrouted freight, OS&D and other discrepancies and necessary.
  • Perform dock checks daily.
  • Process inbound and outbound documents, ensuring accuracy and reporting discrepancies as required.
  • Processing data and information to inform KPI status of HUB Operations in a manner acceptable to be presented to customers (internal and external), Regional Director level and below within the AIT Worldwide Logistics organization.
  • Communicate with AIT Middle Mile Network Corporate Operations Team regarding additional adhoc loads and routing requirements as communicated by the HUB Operations Supervisor and/or Domestic Transportation Manager.
  • Under minimal supervision, able to conduct the activities outlined as primary responsibilities with little to no guidance or supervision
  • Regarded as capable of training, providing guidance and leading others and must be able to explain and articulate processes and procedures with or without documented procedures in hand and able to provide guidance and direction when needed.
  • Occasional communication with station managers outside the assigned geographic region to encourage and enhance usage of the AIT Middle Mile Network.
  • Develop relationships with LTL carrier partners within assigned region that allow for ease of conducting business and problem resolution.
Qualifications

Education Qualifications

  • High School Diploma Required and
  • Bachelor's Degree Preferred

Experience Qualifications

  • 3+ years Transportation or Logistics Background Required and
  • 1+ years LTL or HUB Operations Experience Preferred and
  • 1+ years Freight Coordination, Customer Service and Other like business experience Preferred and
  • 1+ years Dangerous Goods Handling Preferred

Skills and Abilities

  • Perform all aspects of HUB operations including customer service, dispatch and freight routing. (High proficiency)
  • Arrives at a conclusion based on previous experiences and good judgment. (High proficiency)
  • Analytical Thinking - being able to translate data into usable and executable actions, at times this may be immediate and then report to management, and as part of a contributor to a larger team. (Medium proficiency)
  • Works on complex issues where analysis of situations or data requires in-depth evaluation of variable factors. Constructs and may pursue alternative paths towards a solution. Exercises judgment in selecting method, techniques and evaluation criteria for obtaining results consistent with broadly defined policies and practices. Problem/Task resolution timeframe: Inclusive of shorter timeframes, but typically 1 to 3 months to resolve. (Medium proficiency)
  • Company Knowledge - become the subject matter expert on the Middle Mile Network, understanding and explaining the benefits to the company of usage and service capabilities. (High proficiency)

Licenses and Certifications

  • Forklift operator Upon Hire Required and
  • Dangerous Goods within 90 Days Preferred
