Collections, Ownership, & Administrative Litigation Division

Total Number of Positions: 1

Annual Salary: $48,960

These positions are open to the general public and to all current city employees covered under the terms of the City's collective bargaining agreement with the AMERICAN FEDERATION OF STATE, COUNTY AND MUNICIPAL EMPLOYEES (AFSCME) - (BARGAINING UNIT #01, 03, 04, 05). Only employees currently in City job titles in this bargaining unit are eligible to bid.

Under general supervision, supervises employees engaged in the performance of routine clerical duties and/or performs clerical duties of a complex nature; and performs related duties as required.

ESSENTIAL DUTIES

* Codes and prepares input and output data for computer-based systems.

* Reviews requests for information and processes requests in accordance with departmental regulations.

* Assist in creating projection reports and projects.

* Oversees the filing, storage, and maintenance of departmental files and mail.

* Coordinates and monitors the processing of various forms and documents both physical and digital.

* May oversee the ordering, storage and distribution of supplies and equipment.

* Prepares a variety of statistical, operating and performance reports.

* Reviews daily postings to a variety of accounts, books ledgers and registers.

* Verifies the posting of payments for such items as permits, warrants and license applications.

* Maintains polite and professional communication in person, via phone, e-mail, and mail.

* Perform other duties as necessary including but not limited to transmitting third-party payments for processing to other City departments.

Qualifications

O Two years of progressively responsible clerical experience or an equivalent combination of training and experience.

SELECTION REQUIREMENTS

This position requires applicants to complete a skills assessment test and complete an interview. Test results will be sent out by the Department of Human Resources after the test results have been compiled and analyzed. Applicants who receive a passing score on the test will be selected to interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be selected. The interviewed bidders possessing the qualifications best suited to fulfill the responsibilities of the position will be selected in seniority order according to the collective bargaining agreement.

Preference will be given to external candidates possessing the following:

  • Previous work experience with Oracle and Business Objects
  • Previous work experience with vendor relations and troubleshooting
  • Previous experience creating and maintaining spreadsheets to track pending assignments.
  • Previous experience organizing and maintaining confidential and administrative files.
  • Proficient in Microsoft Office, including Word, Excel, and Outlook.
