The Department of Health Sciences in the Byrdine F. Lewis College of Nursing and Health Professions is seeking to hire an Administrative Specialist that will provide comprehensive administrative assistance to the Department Chair, ensuring the efficient operation of the department's administrative function. The Administrative Specialist should have strong organizational skills, attention to detail, and the ability to multitask.

WHAT WILL YOU DO:

This position provides high-level administrative and financial support to the Department Chair, Program Directors and Faculty, including managing calendars, scheduling appointments, arranging meetings and other related duties.

DUTIES AND RESPONSIBILITIES INCLUDE:

  • Assist in the preparation, editing, and distribution of departmental documents, including meeting agendas, minutes, reports, and presentations.
  • Serve as a contact for internal and external inquiries directed to the Department Chair, including phone calls, emails, and in-person interactions.
  • Coordinate departmental events, workshops, advisory board meetings, including logistics, venue booking, catering, and attendee communication.
  • Provide administrative support for academic activities, such as course scheduling and student registration.
  • Maintain accurate and up-to-date records of departmental activities, faculty profiles, student data, and other relevant information.
  • Undertake special projects and assignments as assigned by the Department Chair, which may involve research, data analysis, and presentation preparation.
  • Assist the Department Chair and Faculty with ensuring compliance with departmental policies, procedures, and regulations, as well as university guidelines and standards.
  • Assist the Business Manager in monitoring departmental budgets, processing travel authorizations and travel expense reports, ordering supplies and materials, etc.
  • Perform other related duties as assigned.

Qualifications:

Minimum Requirements:

  • Bachelor's degree and two years of administrative experience; or high school diploma or GED and six years administrative experience; or a combination of education and related experience.

Preferred Requirements:

  • Must be detail-oriented and organized.
  • Skilled in oral and written communication.
  • Ability to respond diplomatically to sensitive and critical issues.
  • Ability to effectively multitask and prioritize tasks on a level of importance.
  • Ability to work independently.
  • Able to be professional and discrete with private and confidential information.
  • Skilled in interpersonal relations and in dealing with the public.
  • Must be proficient in Microsoft Office and highly prefer experience with Banner and Slate.
  • Proficient in Microsoft Office.
  • Ability to work independently and with many individuals in a range of capacities.
  • Ability to implement new procedures as needed.
  • Excellent written and verbal skills.
