Job Description

We are seeking an organized and detail-oriented Administrative Scheduler, preferably with experience in the Industrial Hygiene and Environmental industry or a related field. The ideal candidate will be responsible for scheduling appointments, coordinating field activities, and providing administrative support to ensure efficient operations within the department. This role requires excellent organizational skills, the ability to multitask, and a keen attention to detail.

Key Responsibilities:

Scheduling and Coordination:

  • Schedule appointments and field activities for industrial hygiene and environmental projects.

  • Coordinate with field technicians, project managers, and clients to ensure timely and efficient scheduling.

  • Maintain and update the department's calendar, ensuring all appointments and activities are accurately recorded.

Administrative Support:

  • Provide administrative support to the department, including preparing documents, reports, and correspondence.

  • Manage and organize departmental files, ensuring all records are up-to-date and easily accessible.

  • Assist in the preparation of project proposals, reports, and other documentation.

Communication:

  • Serve as the primary point of contact for scheduling inquiries, providing prompt and professional responses.

  • Communicate with clients to confirm appointments and provide necessary information.

  • Liaise with internal and external stakeholders to coordinate project activities and resolve scheduling conflicts.

Data Management:

  • Enter and maintain accurate data in the department's management systems.

  • Generate and distribute reports related to scheduling and project progress.

  • Ensure all data is handled in compliance with company policies and industry regulations.

Quality Control:

  • Implement and maintain quality control procedures to ensure the accuracy and completeness of scheduling data.

  • Conduct regular audits of scheduling processes to identify and address any discrepancies or issues.

Qualifications:

  • High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration or a related field is preferred.

  • A minimum of 3 years of experience in an administrative or scheduling role, preferably within the Industrial Hygiene and Environmental industry or a related field.

  • Proficiency in scheduling software and Microsoft Office Suite (Word, Excel, Outlook).

  • Strong organizational and time-management skills with a high attention to detail.

  • Excellent communication and interpersonal skills.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Knowledge of industrial hygiene and environmental industry standards and practices is a plus.

  • Ability to prioritize tasks and manage multiple responsibilities effectively.

  • Flexibility to adapt to changing priorities and project requirements.

  • Strong problem-solving skills and the ability to handle scheduling conflicts professionally.

Compensation Range:

$46,713.00 - $62,284.00
