Job Description

Summary:

The Surgical Scheduling Coordinator reports to the practice manager and/or clinical manager. Employee is responsible for all scheduling of surgeries/procedures performed at the request of physicians. The Surigcal Scheduling Coordinator has accountability for maintaining and updating a schedule that accurately denotes procedures performed and the physicians involved. Position is also responsible for developing and maintaining open and positive communications with internal and external departments.

Responsibilities:

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Schedules office visits for multiple locations for pediatric gastroenterology patients.

Responsible for maintaining the recall system for procedures and visits.

Coordinates procedure time between patient physician endoscopy center and/or hospital/outpatient surgery center. Ensure patient has access to language services in preferred language.

Helps consolidate gaps in procedure schedules to maximize physician productivity.

Assists with other administrative duties in the clinic including referral work queues patient calls general messaging patient outreach registration and other tasks normally required in a medical office setting. Verifies demographic data. Confirms patient eligibility with insurance carriers.

Schedules ancillary testing such as breath tests per physician order.

Collaborates with physician and nursing team to ensure patient has proper medical clearance and pre-surgical testing completed.

Maintains calendar of surgery and procedure times; follows up with physician to resolve scheduling conflicts in a timely manner.

Obtains authorization for procedures visits and infusion patients as needed. Responsible for obtaining documentation necessary from the insurance company as needed; sends patient packets to procedural departments including histories and physicals and other doctor's orders.

Keeps track of pending history and physicals (H&Ps) and scans patient packets

Serves as primary contact for the patient provides pre- and post-procedure instructions and assists with patient inquiries. Responsible for providing accurate and detailed information to patients regarding tests procedures visits and any other information to facilitate the patient visit.

Assists with the development of resources and guides for families staff and faculty. Maintains departmental resource library.

Helps leadership team with updating and maintaining departmental and professional policy and procedure manuals.

Performs other duties as assigned.

EDUCATION:

High School diploma/ GED required. Associate degree in healthcare administration or related field preferred.

EXPERIENCE:

At least two years of procedure/ surgery scheduling experience in a medical setting preferably in a gastroenterology practice.

Working knowledge of insurance authorization processes

Strong verbal and written communication

Superior interpersonal skills necessary in order to deal effectively and courteously with patients and families and exchange patient related information.

Strong organizational skills

Preferred Bilingual-Spanish and English
