Job Summary:

Reporting to the Director of the Smith Office for the Art (SOFA), the Program Manager is responsible for assisting with the programmatic and administrative duties of the growing Office for the Arts, with a focus on student engagement. Work on program development and engagement initiatives with new and existing organizational arts partners on campus and beyond. Assist the Director with event programming, systems building and outreach initiatives. Collaborate with arts department faculty and staff, student groups, centers and other key stakeholders on campus on developing processes and systems that support, promote and connect their work, and facilitate the expansion of the arts alumni network. Liaise with partners outside the College on arts related projects and programs, including developing connections in Northampton and within the 5 Colleges. Help supervise and hire SOFA interns. Work closely with SmithArts publicity on website, newsletters, and marketing. Assist with documentation, fundraising, and grants management as appropriate.

This is a two-year fixed term, full-time position with benefits.

Essential Functions

Program & Event Planning (40%):

  • Coordinate Office of the Arts programming, new initiatives, and collaborative work in consultation with the Director of SOFA, arts faculty and staff, and students.
  • Work with the Director to support strategic planning, program budget management, and arts engagement efforts.
  • Manage event production for key SOFA events; including designing and implementing public programs, Orientation and First and Last week events, select artist visits, exhibitions, residencies, field trips/career treks, and collaborative and interdisciplinary programs with departments.
  • Develop and oversee the student arts ambassadors program, and facilitate the work of the student arts engagement including planning programs that provide a platform to art students and attract non-art majors as well.
  • Collaborate with student arts groups to highlight the work they are doing on campus, and coordinate platforms for students to share their work.
  • Assist in planning the annual Smith Arts Day, and the Smith Student Art Sales and other key SOFA events.
  • Work with key centers on campus to support strategic initiatives in the arts such as the Wurtele Center for Leadership, Lazarus Center for Career Development, Conway Innovation and Entrepreneurship Center, Jandon Center for Community Engagement, Design Thinking Initiative, Office of Student Engagement, Poetry Center, Smith Libraries, the Smith College Museum of Art (SCMA) and more.
  • Organize systems for program sharing and planning across the arts.

Outreach (35%):

  • Work with the SmithArts Marketing and Communications Manager to expand arts engagement platforms and implement new outreach strategies, with a focus on student engagement.
  • Partner with units across campus to gather information about events, news, opportunities, including individual students and arts student groups, to help tell the story of the arts at Smith.
  • Update websites, help manage and maintain SOFA-related content, newsletters and other tools as needed.
  • Provide advice and information to Smith constituencies, supporting SOFA as a hub for resources and opportunities in the arts.
  • Cultivate relationships across the 5 Colleges as needed.

Administrative Duties (25%):

  • Coordinate travel, accommodations, and honoraria payment with visiting artists for SOFA programs and co-sponsored events. Organize production and space use for approved events.
  • Assist with documentation, reporting and systems management.
  • Help manage the SOFA's budgets, and track spending on gifts and endowments.
  • Hire, train and supervise student worker.
  • Develop tools to track participation and engagement in events and initiatives.
  • Provide supplemental support to fundraising efforts, working with Alumni Relations and Development as needed.
  • Represent the SOFA and SmithArts within the College as appropriate.
  • Network with academic admins across arts departments.

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses):

  • College or university degree in related field.
  • Knowledge and skills developed through 5 or more years of work experience in arts programming/administration.
  • Experience working with individuals from diverse backgrounds.

Preferred Qualifications:

  • Five years of arts administration experience with at least two years of arts program development experience. Knowledge of multiple arts disciplines preferred.
  • Experience with marketing, outreach and communications.
  • Experience working in or with higher education institutions or educational organizations.
  • Experience with budget management and expense tracking.

Skills:

  • Ability to work across multiple stakeholder groups on and off campus, including diverse groups of students, faculty and staff.
  • Detail oriented, understands how to set priorities and make deadlines.
  • Ability to solve problems; ability to take initiative; excellent communication (oral and written), organizational and interpersonal skills.
  • Strong project management skills.
