Job Description

At DMU you will make a meaningful contribution to the dynamic future of Medicine and Health Sciences. DMU is seeking an Accounts Payable Administrator who is responsible for independent day-to-day management of all accounts payable and cash disbursement process functions; and for administration of the p-card program (company credit card). Ensure accurate and timely payment of vendor invoices and expense reimbursements. Simultaneously utilize multiple programs, interfaces, and workflows in a primarily paperless environment. Manage vendor relationships on behalf of the University. Responsible for managing W-9s and preparing 1099's annually.

What you'll do:

  • Manage full cycle of payables processing from receipt of invoice to approval to entry into accounting software to payment processing, and related document management. Oversee and implement updates to workflow processes and make recommendations for improvements.
  • Administer p-card program. Responsibilities include processing card applications, communicating with bank, managing user accounts and maintaining user database, delivering user training on rules of use and p-card website, and monitoring cardholder transactions through review/audits. Also, update GL codes, develop and update training materials, procedure manual, and work with bank and cardholders in instances of fraudulent activity. Post monthly purchasing card activity to the General Ledger and confirm validity of data. Record monthly p-card payment and annual rebate with p-card vendor.
  • Ensure vendor W-9's, contracts, and invoice documentation are properly maintained in imaging software.
  • Ensure timely payment and posting of vendor invoices, check requests, student and patient refunds, and other approved disbursements. Research and resolve invoice and payment discrepancies and exercise judgment in resolving differences. Confirm proper authorization for all payments, review policies for compliance, and make recommendations.

What we're looking for:

  • Associates degree in accounting required, plus 3-5 years experience in an accounting or business office. Bachelor's degree preferred.
  • Knowledge of commonly used and/or accepted industry standard concepts, practices and procedures within Accounts Payable, 1099 reporting, and Accounting. Basic knowledge of purchasing process.
