Why M Physicians?

The Business Assistant (BA) ensures the smooth performance of daily office service functions and other administrative support.This BA position works on-site at our M Physicians Administrative Offices and assists in supporting needs of on-site staff and remote workers.They will be managing incoming and outgoing mail for our company wide system; directing deliveries and couriers; creating access badges for several facilities; supporting work space changes; stocking supplies; reporting building maintenance issues; managing conference rooms; providing project assistance; and performing other tasks as needed to support the Facilities team, our staff, and clinics. This position is part of a larger admin support team that provides daily services at multiple facilities. The BA will cross-train in other roles to be able to provide back up support and help the team maintain daily tasks across our system.

What you will do as a Business Office Administrative Assistant:

  • Sorting, distributing, researching undeliverable mail, posting mail for UMP-wide system for incoming/outgoing mail.
  • Assist with directing visitors and service providers.
  • Manage couriers and incoming/outgoing deliveries (FedEx, UPS, USPS, etc).
  • Assist with conference room schedules, AV needs, room upkeep.
  • Manage courier program, including scheduled daily runs.
  • Oversee office supplies, break room supplies, other small furniture needs.
  • Assist with building maintenance requests, office equipment needs, work space needs, parking lot rounding, etc.
  • Create ID badges and access badges, assist with security system changes, monitor cameras, conduct audits, provide reports.
  • Assist with office moves, remodels, space mapping, etc.
  • Provide research assistance, help document processes.
  • Support LEAN efforts with clean up and organization.
  • Post/update informational materials for UMP internal website.

What you will need:

  • Post-secondary education (vocational/technical training, Associate's Degree, or Bachelor's Degree ) or equivalent facilities knowledge, training and experience.
  • 2+ years of general office support or facilities management experience.
  • Excellent computer and customer service skills.

  • Microsoft Word, Excel, and Outlook skills required.

  • Basic aptitude for machines and mechanical equipment.
  • Able to work effectively with all levels of management, external constituents, and co-workers.
  • Good problem solving and judgment skills and outstanding interpersonal skills.

Hours: 40 hrs. per week
