Requisition ID req29877 Working Title Admin Assistant 3 Position Grade 08 Position Summary

The Division of Neonatology within the Department of Pediatrics is seeking a motivated individual for a full-time Administrative Assistant 3 position to provide administrative support for the division. This individual will serve as an administrative support for two or more full-time faculty members. In conjunction with three division admins, this position serves as a first line of communication with faculty, staff, and Neonatal Nurse Practitioners. This individual will need to possess an excellent ability to communicate effectively over the phone, in person, and through written correspondence. This individual's duties include calendaring items, coordinating meetings and taking notes, and entering faculty and NNP service and on-call schedules into TigerConnect. Other duties may include creating or editing flyers and brochures, letters, and spreadsheets. This individual will hold a PCard and be required to purchase based on division needs and reconcile purchases in Chrome River.

This position requires an individual that has a strong attention to detail, is a self-starter, and can work effectively as a member of a team or as an individual. An ability to set and manage priorities, adapt to change and last minute work assignments is essential.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Proficiency in computer and data entry is preferred.
  • Experience coordinating, calendaring, and taking notes for meetings.
  • Experience in Smartsheets, Microsoft Suite, Banner, TigerConnect, PCard.
  • Experience working in an academic medical setting.
