Overview

ABOUT THE POSITION

VHB's is seeking a dynamic and detail-oriented Contract Administrator to join our Regional Finance team. In this role, you will provide crucial support in managing contract aspects of engineering projects. This position is hybrid and may be based in either our New York, NY or Newark, NJ office.

Our best estimate of the salary range for this position located in New York City is $85,000 - $115,000. The final compensation will be based on a variety of factors such as individual location, qualifications, education, and experience.

Primary Duties & Responsibilities

    Manages and coordinates contract administration activities.
  • Reviews and assesses contract risks and ensures that contracts are consistent with established guidelines, policies, practices, and procedures.
  • Ensures that all clarifications and amendments of negotiations are incorporated into final contracts.
  • Ensures that necessary procedural controls exist and are followed.
  • Assists with project setup using contract management software. Generates, maintains, and audits contract data.
  • Prepares, processes, and monitors invoices and contracts.
  • Assists with accounts receivable collection.
  • Assists with research and resolution of client questions. Handles complex contract issues and problems.
  • Liaison with Risk Management/Finance on all related items to Insurance (Project specific)
  • DBE compliance/reporting support (Project specific)
  • Client Portal maintenance on active projects in portfolio (required certification, documentation)
  • Provides monthly reporting on contract compliance (Internal/External)
  • Provide administrative support to Project Managers (clients requests, monthly progress reports) on an as needed basis
  • Participates in professional and personal development aligned with career goals.
  • Performs all job functions in compliance with applicable federal, state, and local regulations and VHB policies and procedures.

Skills & Knowledge

  • Solid knowledge and understanding of contract management.
  • Strong skills with Microsoft Office Suite (i.e., Word, Excel) and contract management software (e.g., Deltek Vision).
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong organizational and prioritization skills.
  • Team-oriented with strong capability to work independently.
  • Self-motivated with attention to detail.
  • Ability to shift attention from one task to another in a fast-paced, deadline-driven environment.
  • Skills and knowledge must be commensurate with required experience and job level.

Minimum Qualifications

  • 5+ years of contract management experience
  • Associate's degree in Accounting, Finance, or Management
  • Bachelor's degree preferred
  • Experience with the federal contracting process and FAR preferred
