Job Summary:

The University of Wisconsin Clinical Trials Institute (UW CTI) is a partnership between the University of Wisconsin School of Medicine and Public Health (SMPH) and UW Health. It supports clinical research professionals, investigators, and participants to advance discovery and research in the prevention, detection, and treatment of disease to help improve the health of individuals, families, and communities across Wisconsin and beyond. Supporting the mission and vision of the UW CTI, the Senior Project Manager will manage strategic, administrative, operational, and quality improvement projects that support clinical trial processes, operations, and infrastructure across UW Health and UW-Madison enterprise. The Senior Project Manager will manage multiple projects simultaneously from start to finish or one large project impacting the institution at-large under general supervision.

The Senior Project Manager works collaboratively with UW CTI leadership, UW CTI customers, and UW / UW Health stakeholders to drive implementation of projects by establishing strategies, approaches, charters, plans and schedules; establishing and developing high-performing teams; improving processes; and implementing solutions to achieve strategic goals that enable expansion of UW CTI services to support clinical research across the system. This role serves as the expert on project management and process improvement within the institute, and provides clear direction on project requirements to meet expectations of UW CTI customers and business stakeholders. The Senior Project Manager maximizes business results through continuous improvement in the organization's ability to execute projects and initiatives from initiation to completion including operational scale-up and transfer to operations.

Responsibilities: Manages multiple projects simultaneously from start to finish or one large project impacting the institution at-large under general supervision.
  • 30% Creates a project plan, monitors progress and performance against the project plan, and identifies, resolves, or escalates risks and issues
  • 5% Manages the activities of outside contractors to ensure they are integrated into the project and that the organization receives satisfactory standards of service
  • 20% Facilitates the estimation of project costs, resources, and time required to complete the assigned phase of a project and monitors activities, negotiates for resources, and assigns tasks to ensure these targets are met. Follows established change control processes if targets can no longer be met
  • 5% Prepares regular reports to communicate the status of the project within and beyond the project team
  • 20% Sets priorities, allocates tasks, and collaborates with project staff to meet project targets and milestones
  • 15% Lead business process development, improvement, and optimization initiatives
  • 5% Mentors junior staff and project stakeholders on project management and process improvement methods, tools, techniques, and facilitation

Qualifications:

Required:
-Excellent time management skills. Ability to work independently or collaboratively, manage multiple projects despite interruptions, while closely tracking details and looking for ways to improve processes.
-Excellent communication skills and the ability to interface with multiple parties with competing interests.
-Minimum 7 years combined experience in project management, process improvement, and business analysis / requirements facilitation and documentation.
-Demonstrated ability to work in and lead multi-disciplinary teams. Exceptional interpersonal and leadership skills to effectively communicate and build relationships with a broad spectrum of audiences at all organizational levels.
-Some travel to sites may be required. Valid driver's license required.

Preferred:
-Project Management Professional (PMP) or equivalent training/certification and experience
-Business Process Management / Process Improvement certification or equivalent training and experience (e.g., Six Sigma, Lean, PDCA)
-5 years of professional experience in the pharmaceutical, biotechnology, medical device, and/or healthcare industries with previous experience supporting clinical research.

License/Certification:

Preferred
Drivers License - Valid and Meets UW Risk Management Standards
Travel is required. Must provide a valid driver's license. Employees may use their own transportation or receive approval for University Car Fleet usage. This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary:

Minimum $75,000 ANNUAL (12 months)
Depending on Qualifications
The starting salary for the position is $75,000 but is negotiable based on experience and qualifications.

Additional Information:

This position has been identified as a position of trust with access to vulnerable populations. The selected candidate will be required to pass an initial caregiver check to be eligible for employment under the Wisconsin Caregiver Law and every four years.

University sponsorship is not available for this position, including transfers of sponsorship. The selected applicant will be responsible for ensuring their continuous eligibility to work in the United States (i.e. a citizen or national of the United States, a lawful permanent resident, a foreign national authorized to work in the United States without the need of an employer sponsorship) on or before the effective date of appointment.
