Salary Range: $58,958-$73-698

POSITION SUMMARY:

The role of Program Specialist spends the majority of their time in the office. The purpose of the position is to expedite any and all issues that could delay fabrication or completion of documentation.

The Program Specialist supports Program Management and Project Management in monitoring and controlling performance and collaborating in making course corrections where necessary to meet project schedule, cost, quality, safety and corporate goals.

ESSENTIAL FUNCTIONS AND MAJOR RESPONSIBILITIES:

Key requirements and duties of this position include but are not limited to the following:

  • Maintain strong communication skills, highly motivated, and collaborative work style to meet team goals
    • Work closely with program and project personnel.
    • Maintain clear status communications with Production, QA/QC, Projects, and Customer's
  • Attend all program meetings
  • Understand fully all of the program procedures and work instructions
  • Responsible for coordination of project documents.
    • Coordinate the incoming/outgoing documentation according to processes appropriately depending on project and division
    • Directs incoming questions appropriately
    • Coordinate documents for the division internally and externally
    • Utilizes third-party sites when requested by the customer to communicate and send documentation
    • Coordinates with Document Control and Contracts when receiving/sending documentation
  • Initiate, manage, and maintain group and individual training on all shop procedures and work instructions
    • Identify program employees who are falling behind in training or understanding and reinforce with individual hands-on training
  • Data entry for program management
    • Generate program status reports as necessary
  • Provide support to internal/external customers as needed
  • Organizes multiple assignments
  • Manages and balances multiple tasks and changing priorities
  • Peer training, as needed
  • Communicates with the Vigor teams to clarify directive
  • Provides basic program meeting support
  • Completion of other reporting metrics requested by the Project Manager or Project Engineer

SUPERVISORY RESPONSIBILITY:

Unless in the Lead capacity, Project Specialists do not have direct supervisory responsibilities, though they may be asked to provide performance input related to their peers.

EDUCATION, CERTIFICATES, LICENSES AND REGISTRATION:

  • Requires high school diploma or G.E.D
  • Minimum of 2 years' experience in documentation practices preferred

KNOWLEDGE SKILLS AND ABILITIES:

  • Proficient in Microsoft Office applications (e.g. Word, Excel, Access)
  • Must have strong PC skills and
  • Experience with Adobe Acrobat, preferred
  • Ability to multitask while following instructions/schedules/timelines for multiple urgent priorities
  • Strong interpersonal skills and the ability to work with others in a positive and collaborative manor
  • Possess strong communication, prioritization, and organizational skills
  • Maintaining and communicating appropriately with the program team.
  • Ability to identify, collaborate and assist in execution of process improvements
  • Show initiative in the work being performed
  • Ability to take on and effectively execute, track and provide updates on long-term project tasks
  • Ability to take re-direction based on changing priorities
  • Ability to comprehend and communicate program procedures
  • Ability to effectively work in and around production areas including moving machinery
  • Ability to think in context and adapt to multiple project needs and processes.

PHYSICAL DEMANDS:

Work is conducted in a dynamic, fast-paced office setting. The person may be required to be in production areas at times. He/she must be able to walk to and from job sites. There may be local travel up to 10% of the time and out-of-town travel (including air travel) up to 5% of the time with notice. WORK ENVIRONMENT:
