Administrative Assistant II

Department of Human Resources

Classification and Compensation Division

Number of Vacancies: 1 (Additional vacancies possible pending budget approval)

This position is open to the public and all current city employees covered under the City's Collective Bargaining Agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) - BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

Under general supervision, the class performs administrative, clerical and secretarial duties for a city manager; and performs related duties as required.

ESSENTIAL DUTIES

* Prepare, maintain, distribute, file letters/memorandum, including proofreading and scanning documents

* Utilize Excel to track HMC, Special Rate, Labor Relations, audits, and other metrics

* File and maintain digital benchmark packets, including scanning

* Utilize SharePoint to maintain Title code Master list

* Maintain Schedule A maintenance documentation and year-end closeout

* Maintain class spec updates, including notifications

* Scan and file various documentation

* Monitor and maintain correspondence from our General Class/Comp email account (e.g., external survey requests) and distribute to staff according to request type

* Research manual and digital files in response to FOIA

Additional duties may be required for this position.

Location: 121 N. La Salle Street, RM 1100

Days: Monday - Friday

Hours: 8:30 am - 4:30 pm

Salary: $48,960.00

THIS POSITION IS IN THE CAREER SERVICE

Qualifications

Two years of progressively responsible administrative or secretarial experience, or an equivalent combination of training and experience.

Preference will be given to candidates possessing the following:

* Experience providing customer service in person, over the phone and via email.

* Experience in records management.

SELECTION REQUIREMENTS

This position requires applicants to successfully pass a skills assessment and complete an interview. Test results will be sent out by the Department of Human Resources after the test results have been analyzed and compiled. The interviewed candidate(s) receiving a passing score on the test and possessing the qualifications best suited to fulfill the responsibilities of the position will be selected. Bidders will be hired in seniority order according to the collective bargaining agreement.
