What You'll Do

Provides direct administrative support to the Site Management Office and specifically to the Deputy Site Manager. Performs typical office functions such as managing multiple calendars/schedules for site leadership, setting up and maintaining electronic filing systems, interviewing callers and making proper referrals, arranging meetings and receiving, referring, or answering email. Answers questions relating to office operations and established policies and procedures. May provide guidance and direction, as needed, to division administrative professional staff and other department administrative professional employees. The employee operates and executes daily tasks under minimal supervision. Work may be done without established procedures or guidance. Contacts are frequent with individuals representing outside organizations, and/or individuals of significant importance within the company. Responsibilities include planning and preparation of formal and informal communications with the required skill, tact, persuasion and/or negotiation to accomplish the objectives of the communication.

  • Prepares finished documents for appropriate grammatical usage
  • Answers questions relating to office operations and established policies and procedures
  • Prepares complex data and/or generates complex reports
  • Establishes schedules to accomplish complex and special tasks
  • Directs preparation or various administrative elements by other employees within the department and assures accuracy, completeness, and arrangement
  • Evaluates information, data, input, and similar items for completeness, accuracy, and suitability to assure agreement with standards and procedures, and take appropriate corrective action, as necessary
  • Prepares reports where the information may be gathered from several sources or may be difficult to organize and compile; searches records and provides factual data from information on file
  • Attends meetings, takes notes, and tracks action items
  • Books, coordinates, and settles travel arrangements
  • Purchases office supplies and materials for the organization, as needed
  • Required to attend and/or successfully complete training classes as determined by the Training and Development Technologies Department, through General Employee Training (Reference DOE Order 426.2)
  • Attends all required safety meetings and training; offers suggestions on improvements to the work environment
  • Understands a worker's right to stop work when they feel their own or other's safety is jeopardized
  • Responsible for maintaining a thorough knowledge of applicable Federal, State, DOE, Corporate and Plant rules, regulations and Plant-wide operating policies and procedures
  • May be assigned clerical and/or other administrative duties of other personnel as needed
  • May participate in departmental budget preparation and budget monitoring activities
  • All other duties as assigned

Minimum Job Requirements
  • High school diploma: Minimum 10 years of relevant experience; typical administrative experience ranging from 10-15 years
  • OR Associate degree: Minimum 7 years of relevant experience; typical administrative experience ranging from 10-15 years
Preferred Job Requirements
  • Ability to coordinate and perform multiple activities efficiently
  • Ability to work effectively under pressure with frequent interruptions
  • Ability to organize and coordinate executive office's activities; compose correspondence; perform independent research of a variety of office and technical issues
  • Ability to perform administrative detail and liaison activities

Requires a Q clearance; however all qualified candidates will be considered regardless of their current clearance status. The ability to obtain and maintain a Department of Energy Q clearance is required.

Position may require entry into Materials Access Areas (MAA) and participation in the Human Reliability Program (HRP). If HRP is required, candidate must complete a counterintelligence-scope polygraph, pursuant to 10CFR 709. Medical requirements may apply.
