Job Description

This is an on-site position to work at Genentech's South San Francisco, CA campus to support the fire service team with document control, permit management, service call and inspection scheduling, financial documentation, and work order close- out to ensure service tasks move smoothly through service milestones.

Responsibilities:
* Maintain documentation for service request booking packages, ensuring that packages are complete and kept up to date.
* Coordinate material purchasing and delivery, track shipments, and account for costs.
* Maintain billing and collections documentation; communicate issues to the site management team.
* Create purchase requisitions for subcontracts. Complete subcontract agreements and bond documents, when required.
* Create a monthly snapshot for all service requests and identify changes in planned costs.

* Track timesheet submittals for service requests and ensure all timesheets are submitted before month-end.

* When closing service requests, ensure they do not have unissued material, are 100% billed, and do not contain committed costs.

* Manage, document, and periodically monitor system impairment requests via permit vision.

* Provide time and material estimates/ quotes to contractors upon request.

* Schedule service requests upon receiving an approved quote and PO#.

* Verify permit validity via gCal for potential discrepancies and/ or changes.

* Track and maintain fire alarm & fire sprinkler inspection schedule and create work order notifications for work due and assign to field technicians.

* Place fire alarm systems offline via monitoring (MasWeb) during emergency requests.

* Order safety and training supplies for technicians.

* Adhere to GNE special projects and requests.

Qualifications:

* High school diploma or state-recognized GED

* Excellent organizational and interpersonal skills

* Ability to read and understand contract documentation

* Familiarity or experience with HVAC/Fire Alarm/Security systems preferred

* Proficient in Microsoft Office and business software systems (e.g., SAP)

* Good verbal and written communication skills in English
