Description

This position is responsible for overseeing all administrative functions and financial affairs the Office of the Dean and Provost which includes supporting the Executive Associate Dean, Associate Provost for Finance and Administration, Associate Provost for Strategy, Communication, and Engagement, Associate Dean for Equity, Diversity, and Inclusion and provide supervision of other administrative office support in the office. This position will act as the primary institutional liaison for the Dean's Office and manage and coordinate institutional projects directed by the Office of the Dean and Provost which requires high-level, complex analyses, and reporting.

Examples of Duties

  1. ADMINISTRATIVE SUPPORT - 70%
    • Provides overall, high-level quality support to the Dean by serving as the Office of the Dean and Provost' primary liaison and by providing professional, efficient coordination of activities which include but are not limited to:
  • Responsible for logistics of the Dean's address to the school, press conferences, legislative visits, community and hospital partner events and meetings.
  • Assist in the development of the Dean's Annual Report
  • Develops presentations for the Dean for the Board of Trustees meetings as needed.
  • Meets with the Dean and Provost and senior leadership to plan, provide information and deliverables to assist with productivity and effectiveness, and gather advice on moving projects forward.
  • Coordinates and assists the Dean with performance evaluations of direct reports including developing and implementing tools for the evaluation including but not limited to 360-degree evaluations.
  • Oversees large, cross- functional, organization-wide projects or initiatives; brings together important stakeholders to help drive decisions.
  • Plan and direct preparation for select special events both internally and with external partners, such as candidate searches, accreditation site visits, and board meetings
  • Supports the Dean and Provost in coordinating, developing and monitoring strategic plans.
  • Coordinate for the Dean all aspects of the Promotion and Tenure process in collaboration with the Promotion and Tenure Committee and the Office of Faculty Affairs/ cHOP which includes policy guidance, communication, and tracking
  • Provide excellent service to both internal and external customers by taking responsibility, being empathetic, showing respect, problem solving and making it easier for customers.
  • Produces documents (often highly sensitive and confidential) in acceptable draft and/or final form as requested. Reviews and edits documents prepared for spelling, punctuation, and format, and modifies copy as necessary.
  • Directs and coordinates the budget and financial activities for the Office as directed working closely with the Associate Provost for Finance and Administration. Serve as fiscal officer and administrative leader for the Associate Provost of Strategy, Communications and Engagement, and as fiscal officer for the Dean as needed.
  • Ensure that all fiscal policies and procedures are followed.
  • Creates high level, professional documents and presentations for the Dean and assists the Dean with technical support as needed.
  • Serves as liaison to central administrative offices, including associate deans and provosts, department chairs and the executive directors who report to the Dean.
  • Represent the Dean on various committees and with various community organizations as needed.
  • Facilitate meetings as necessary and anticipates the need for support services like catering, audio-visual and minute taking for such meetings.
  • Prepare presentations and visuals for the Dean.
  • Hires, supervises and evaluates support staff in the Office of the Dean and Provost.
OTHER DUTIES - 30%
  • Coordinates and participates in effort to streamline and improve services provided by the Office of the Dean and Provost.
  • Assess inquiries directed to the Dean and Provost, determines the proper course of action and delegates to the appropriate individual to manage. Ensure all issues are addressed properly, efficiently and judiciously, and keep track of progress until resolved.
  • Manages projects as assigned by the Dean and Provost, including supervising project personnel as needed.
  • Develop processes of analysis, evaluation and reporting for the SOM Strategic Plan.
  • Oversee evaluation and advancement of the Dean's strategic priorities and initiatives.
  • Analyze and make recommendations from state and national data sets, including but not limited to those produced by the American Association of Medical Colleges.
  • Serve as trusted advisor to the Dean and other Executive Leaders.
  • Ensure constructive communication in the Office of the Dean

Qualifications

1) High school graduate or equivalent; AND
2) Any one, or any combination that totals 5 years from the following:

a. college course work in business, finance, accounting or a related field:
-60 semester hours or an Associate's degree = 1 year
-90 semester hours = 2 years
-120 semester hours or a Bachelor's degree = 3 years
-Master's degree or higher = 4 years; OR

b. progressively responsible professional, managerial and supervisory experience that included experience in the areas such as supervising staff or job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles

Condition of Employment: Pursuant to the State Universities Civil Service System, an out-of-state resident who is hired into this position must establish Illinois residency within 180 calendar days of their start date.
