Responsible for administration and support tasks related to Northside Hospital's accommodation programs, including but not limited to ADAAA, FMLA, state, and local leave programs. This role will also support the benefits team with general administrative tasks. The person in this role will provide exceptional support to all partners and employees. Strong proficiency in Microsoft applications including expert status in Excel.

PRIMARY DUTIES AND RESPONSIBILITIES

  1. Manages the ADAAA administration including continuous leave as accommodation, intermittent leave as accommodation, and work place accommodations, process from the employee's initial request of the need for ADA to end of the accommodation.
  2. Serves as a subject matter expert for ADAAA claims, advising managers and employees on various ADAAA laws through the interactive process.
  3. Provides high quality, timely and professional customer service to employees including internal partners, Benefits, Employee Relations, Employee Health and HRIS.
  4. Communicates prompt status of ADAAA requests, return to work and other essential information to employees, managers, and other HR team members as appropriate.
  5. Maintains complete and accurate records of ADAAA requests in accordance with appropriate requirements, ensuring that required documentation is gathered and tracked in accordance with all accommodations process steps. Actively supports process development and improvement efforts.

  1. Facilitate bi-weekly vendor calls to resolve escalated employee or leadership concerns.
  2. Continuous audit of employee portal to ensure leave information is relevant and current.
  1. Provides administrative support to the HR Service Center & HR department.
  2. Explains employee leave benefits by conducting meetings, preparing written and graphic announcements and explanations and responding to requests.
  3. Completes one on one calls with employees and maintains records of each conversation in a case management system.
  4. Identifies process improvements to ensure the administration of ADAAA programs is managed in an efficient and effective manner.
  5. Creates and distributes various confidential correspondence (ie, claims status communication, unauthorized leave notices, and termination notices)
  6. Prepares timely and accurate system reports to assist leadership with accommodation and staffing requests.
  7. Serves as a primary contact for the HR Leadership team, employees and third party administrators with system questions, recommendations, status updates, procedures and guidelines.
  8. Ensures Northside Hospital's compliance with all federal and state ADAAA laws, codes and guidelines.
  9. Partner with internal team members to develop/configure scalable solutions that help improve HR processes and streamline user experience. Build consensus around business processes, business rules, workflows and design. Translate business objectives and user needs into clearly written requirements.
  10. Conducts periodic system audits with leave and benefits enrollment vendors to ensure data integrity. Creates reports, as needed, for tracking plan statistics. Reports to Supervisor weekly on issues relating to the daily administration of the ADAAA process.
  11. Provides assistance with management planning and control information by collecting, analyzing, and summarizing employee benefit data and trends.
  12. Create and maintain documentation on Business Processes, configuration, and other materials.
  13. Ensure systems are accurately configured to meet business requirements. Perform content loading, set-up, testing and trouble shooting in order to ensure smooth integration. Support all upgrades, new releases and configuration change processes for system enhancements.
  14. Evaluates findings from ADAAA medical documentation, and makes recommendations to the employee and management for follow-up requirements.
  15. Explains to new employees policies related to injuries, illnesses, and worker's compensation.
  16. Provide technical support, troubleshooting, and guidance on complex issues to end users; respond to employee issues and communicate status across the Workforce Now, HR Teams and relevant stakeholders.
  17. Help the HR team leverage data analytics to inform the design of programs and measure their success against stated goals and objectives.
  • Bachelor's degree from a regionally accredited university
  • 2+ years of experience administering ADAAA for a multi-site organization.
  • Strong understanding of applicable state and federal regulations associated with short-term disability, FMLA, ADA, and/or other state leave and disability programs.
  • Ability to maintain discretion and confidentiality in handling ADAAA, personal and confidential information.
  • Demonstrated ability to administer a high volume of ADAAA requests while delivering excellent client service to employees.
  • Must be willing to acquire additional training as directed by leadership
  • Working Knowledge of and experience with Microsoft Office, Google Suites

Preferred:

  1. Certification/Licensure: Applicable licenses and certifications are helpful but not required.
  2. Certification in Benefits and or Leave Administration Planning through workshops, seminars, or coursework within the first 1 year of employment.
  3. 3+ years prior disability or leave management experience
  4. 3+ years of HR experience
  5. Current licensure as Registered nurse in the State of Georgia
  6. Work experience can also include Vocational Rehabilitation Counseling
  7. Experience in Occupational or Public Health Nursing
  8. Prior work experience in healthcare environment.
