Job Summary

Under direct supervision of the director for the Center for Academic Success (CfAS), the Senior Coordinator of Administrative Services is responsible for the management and coordination of the daily operations of the tutoring center. The position requires data-informed decisions to develop a comprehensive plan to address and refer the initial inquiries made by FIU stakeholders for purposes of academic support. The position has broad decision-making authority and demonstrates independent judgment regarding the implementation of the program objectives on behalf of CfAS.

  • Oversees and facilitates the CfAS daily operational activities (e.g.
  • Front Desk operations, tutoring inquiries, data collection).
  • Monitors, analyzes, and interprets CfAS-related activity via the Panther Success Network (PSN) and/or any other platform that helps with data collection for academic support.
  • Performs basic statistical calculations on data for reports and presentations.
  • Prepares presentation material for CfAS-related activity from tutor scheduling and monitoring platform (e.g., Panther Success Network [PSN])
  • Assists and advises, as needed, the CfAS Director and Academic Coordinators with any logistical and/or budgetary-related problems.
  • Serves as the primary contact between CfAS and the Academic Advising Technology (AAT) team as well as the Department of Information Technology (DoIT).
  • Composes and/or prepares promotional materials for CfAS branding, website, social media platforms, newsletters, and other ancillary marketing products.
  • Supervises temporary and student staff whose duties are to help develop promotional materials, newsletters, and manuals. Trains and directs for Front Desk operations at the MMC and BBC.
  • Oversees the coordination of CfAS sponsored social events, e.g. Holiday Luncheons.
  • Plans, coordinates, and develops the the annual CfAS Tutoring Symposium.
  • Manages all front-of-house activities required for the seamless intake of students, faculty, and staff seeking support from CfAS.
  • Collaborates with the Center for Testing & Career Certification (CTCC) to optimize front-of-house activities in the Green Library and the Academic Center One offices.
  • Coordinates and participates in the interviews for all administrative/staff candidates and provides recommendations to the CfAS Director.
  • Coordinates, organizes, and maintains HR transactions for CfAS full- time and temporary staff (e.g. applications, hiring, time-sheets, University compliance, termination, etc.).
  • Assists with the logistical aspects of the CfAS tutor training program. Establishes and maintains a consistent approach to interfacing and corresponding with tutors, students, faculty, staff, and external public.
  • Oversees and facilitates on-boarding for temporary and student staff for CfAS at both MMC and BBC.
  • Serves as the primary department HR Liaison while working closely with the Division's HR Liaisons. Assists the CfAS Director with Human Resources transactions throughout MMC and BBC.
  • Oversees the payroll activities for accuracy and completeness on a biweekly basis.
  • Serves as the University's credit card user for departmental transactions. Adheres to University's credit card policies and procedures.
  • Manages the procurement accounts for CfAS-related travel, conferences, processes Travel Authorization and Expense Reports for department.
  • Monitors the inventory and flow of office and learning materials, academic support software, diagnostic tools, and accessing systems updates and recommending available updated technology to improve student learning.

Minimum Qualifications

Bachelor's degree and three (3) years of office or related experience providing administrative support, or coordinating functions of an office or department.

Desired Qualifications
  • Experience working in Higher Education.
  • Experience and/or knowledge of Peoplesoft.
  • Proficient in Microsoft Office Suite (e.g. Excel, Word, PowerPoint Presentation).
  • Proficient with social media platforms (e.g. Instagram, etc).
