Job Summary:
The College of Arts & Sciences seeks an Academic Assistant to support the departments of Geography, Environmental Studies, and International Relations. This position is typically 35-hours per week, but has limited and flexible hours in the summer, totaling 1680 hours annually. This position provides high-level administrative support to the departments. The ideal candidate will have the ability to manage multiple tasks with competing deadlines. Candidates must be able to organize and maintain administrative processes following the academic calendar and have the ability to work independently and collaboratively with other departments in an ever-changing environment. The academic assistant manages the daily operational activities (including financial, academic, communications, event planning, staffing, etc.) and provides primary administrative support to the Department Chairs.

Job Duties:

Working with the Chairs/Supporting Faculty/Offices:

Collaborate with the Faculty Department/Program chairs to ensure the completion of processes within the academic cycle. Provide support to department faculty. This includes a wide variety of tasks and working with diverse needs. Manage the department workflow. Plan own workload. Prioritize tasks and work independently.

Human Resources & Finance/Budget Responsibilities:

Manages departmental hiring of students, faculty, and staff, including onboarding and supervision as needed. Oversees, reconciles, and processes expenses for multiple budgets within the department, including faculty and program funding.

Event Planning/Communications:

Execute events within the department from start to finish. Including contracts, travel, and day of logistics. Create a variety of marketing and promotional materials for distribution to the campus community. Maintain social media and web presence on behalf of the department/program.

Registrar Duties - Courses, Schedules, Curriculum:

Manage and modify the course catalog, collaborate with the chair/faculty on the course schedule, and compile data and analytics reports.

Minimum qualifications
  • High school diploma/GED
  • Three years of administrative/office experience
  • Demonstrated knowledge of computers and software such as Google drive word processing, spreadsheet, email and calendaring applications
  • Strong written and verbal communication skills
  • Exceptional customer service skills, strong attention to detail, and ability to prioritize deadlines and successfully manage multiple priorities
  • Ability to handle sensitive confidential information in a responsible and appropriate manner
  • Proactive approach to projects, problem solving, communication needs, and planning
  • Must be able to work independently as well as in a team environment
  • Demonstrated ability to positively interact with a wide range of individuals and a commitment to diversity and inclusiveness
  • Interest in learning or proficiency with managing social media accounts (FB, LinkedIn, Instagram)


Preferred Qualifications:
  • Familiarity with using software such as Canva, Adobe suite (Photoshop, Illustrator, and InDesign) in order to create posters and programs for concerts and events.


Physical Requirements:
  • Able to occasionally move up to 25 lbs.
  • Able to remain in a stationary position for extended periods of time; operate a computer, mouse and keyboard for extended periods of time.
  • Able to move about the office to access file cabinets and office machinery such as copiers and printers.
  • Able to work in an environment with multiple competing deadlines and frequent interruptions.

The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.

This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.
