Position Summary Information

Primary Purpose
Under the general direction of the Assistant Registrar, the Administrative Support Specialist will provide advanced project, reporting, and communications support for the Office of the Registrar.

This is a temporary, non-benefited position estimated at 40 hours per week for up to six months. The position may be extended based on departmental needs and funding availability.
Essential Functions
  • Provide project support to Office of the Registrar that may include:
    • reviewing and implementing academic calendars
    • communication and coordination with academic partners about implementation of course/classroom scheduling each semester
    • commencement data tracking, validation, and distribution to campus partners
  • Utilize Banner software and other tools to produce regular and specialty reports as requested; analyze and present data to department's management team.
  • Act as information resource to other staff and team members on projects.
  • Provide front line customer service for Office of the Registrar including:
    • responding to student and faculty inquiries
    • processing forms
    • answering general phone line
  • Support office operations such as assisting with departmental calendars and occasionally participating in meetings with campus partners when requested by department's leadership team.
  • Perform other duties as requested or assigned.

Minimum Qualifications
  • High School Diploma or G.E.D.
  • Two (2) years related work experience in higher education working in a registrar's office or a similar data/compliance-centered department.
Preferred Qualifications
  • Experience with Banner (student module), Argos, Salesforce CRM, and OnBase.
  • Experience in analyzing and filtering complex data to address specific requests or questions.
  • Strong customer service background.
  • Strong familiarity with FERPA and experience explaining FERPA compliance to others.
  • Advanced knowledge of computerized office systems, with emphasis on Microsoft Excel and Outlook.
  • Ability to facilitate effective communications with others at all levels throughout the University.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Requires extended periods of sitting and repetitive hand/wrist motion while using computer keyboard and phone. Occasional standing, walking across campus, climbing stairs, bending, stooping, and reaching. Constant verbal and written communication and occasional lifting up to 25 pounds.

Work Environment/Work Week/Travel:
Work performed during standard business hours.
Hiring Range $18.00 to $22.00 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
