Summary

ESO is hiring a full-time proposal writer to join our team. This is a remote position, with preference given to hybrid-willing candidates near our headquarters in Austin, Texas.

As an Proposal Writer, you'll assist with ESO's strategic proposal development process in response to private, municipal, state, and federal Request for Proposals (RFP) and other similar business development opportunities. This includes managing individual proposal projects in all their phases - from the RFP release and project kickoff, through content development and project planning, to collaborating with team to finalize the electronic or hard-copy proposal submission.

When not on an active deadline, the Proposal Writer will also assist in developing/maintaining a content library of proposal language for the writing team to use in future proposals, including working with internal experts who will periodically review and approve the content. Role & Duties:
  • Develop and write high-quality proposals and responses to RFPs (Request for Proposals), RFIs (Request for Information), RFQs, (Request for Quote/Qualifications), Notice of Funding Opportunities (NOFO), and other solicitations ensuring alignment with ESO's mission and business goals.
  • Analyze RFP/solicitation documents to determine required response and attachments.
  • Manage the proposal development process from kickoff to submission, ensuring adherence to internal and external deadlines and compliance with all RFP requirements. This includes educating team members about their roles, overseeing project timelines, setting internal deadlines, assigning tasks, scheduling meetings, etc.
  • Collaborate with cross-functional teams, including product, engineering, sales, and legal, to gather information and documentation for proposal development.
  • Review, edit, and proofread proposals and content for clarity, grammar, and effectiveness.
  • Develop proposal- and presentation-specific graphics, select appropriate attachments, and determine layout/production needs.
  • Support the internal content library in SharePoint (adding folders, sharing links, creating tags and workflows, etc.).
  • Interview internal subject matter experts and write assigned sections of proposals.
  • Provide developmental editing for assigned projects, including editing for content, tone, consistency, and competitiveness.
  • Ensure content and documents meet established standards for content and quality.
  • Create other sales-specific documents, such as presentations, meeting hand-outs, and related items.
  • Develop and update style guides and other writing/interviewing tools.
Qualifications

While this is a creative and rewarding role, it revolves around external deadlines that arrive at a fast and often unpredictable pace. Shortlisted applicants will be provided instructions for writing samples.

Required Qualifications

Applicants should have:

  • 2-5 years' professional writing experience, with a focus on proposals, marketing, grants, technical writing, etc.
  • Bachelor's degree in English, Journalism, Communications, Marketing, or related field, with a strong foundation in writing and editing
  • Above-average proficiency required in Microsoft Word
  • Proficiency in Microsoft Office applications (Outlook, PowerPoint, Excel, and Teams)
  • Proficiency in project management tools and techniques, with the ability to manage multiple projects simultaneously under tight deadlines
  • Proofing and editing experience
Preferred Qualifications

Competitive applicants will have:

  • Demonstrated experience (5+ years) in proposal writing or a similar role, with samples that showcase your ability to convey complex ideas clearly and persuasively
  • Experience writing RFP responses, with an emphasis on business-to-business (healthcare, software, technology, SaaS) and business-to-government (local governments, county, municipal, state, federal, etc.) proposals highly preferred
  • APMP membership/certification
  • Publishing and production experience
  • Knowledge of the healthcare and emergency services industry
