Accounts Payable Specialist

We are a fast-paced, growing construction company that delivers safety, quality, and on-time work, specializing in heavy civil construction that includes earthwork, concrete work, steel erection, and more. Spencer Construction is looking for highly organized, self-motivated people, with working knowledge and skills in the position applying to.

The Accounts Payable Specialist will oversee accounts payable processes. They will be responsible for managing the company's expenditures, ensuring that all invoices and staff reimbursements are paid accurately and in accordance with finance policies and procedures. This position will support and report to the Controller

Key Responsibilities
  • Adhere to and improve the accounts payable processes and activities in the accounts payable function.
  • Ensure timely payments of vendor invoices and expense vouchers, maintaining accurate records and control reports.
  • Review applicable accounting reports and accounts payable register to ensure accuracy.
  • Coordinate and manage vendor relations.
  • Implement and maintain systems, procedures, and policies to ensure adherence to company guidelines.
  • Ability to evaluate and improve upon existing processes.
  • Provide monthly financial and management reports.
  • Liaise with internal and external auditors as required.
  • Invoice Processing:
  • Review, verify, and process vendor invoices accurately and timely.
  • Match invoices with invoices with vendor statements, purchase orders and receiving documents.
  • Code invoices to appropriate general ledger accounts.
  • Payment Management:
  • Prepare and process electronic transfers and payments.
  • Issue and distribute checks.
  • Monitor accounts to ensure payments are up-to-date.
  • Reconciliation and Reporting:
  • Perform monthly statement reconciliations.
  • Assist and support month-end closing activities.
  • Generate reports on accounts payable status and activity.
  • Vendor Relations:
  • Communicate with vendors regarding invoice discrepancies and payment issues.
  • Maintain positive relationships with vendors and resolve any queries.
  • Ensure vendor files are up-to-date and properly maintained.
  • Compliance and Record Keeping:
  • Ensure compliance with company policies and accounting standards.
  • Maintain accurate and organized accounts payable records.
  • Assist with internal and external audits by providing necessary documentation.
  • General Support:
  • Assist the Controller with special projects and process improvements.
  • Provide support to the finance team as needed.
Job Requirements
  • Associate degree in accounting or related field preferred or equivalent experience.
  • 3-5 years of proven accounting experience, preferably as an Accounts Receivable or Accounts Payable professional position
  • Experience as part of an accounts receivable or accounts payable team.
  • Competency in MS Office, databases and accounting software
  • Hands-on experience with spreadsheets and financial reports
  • Accuracy and attention to detail
  • Aptitude for numbers
  • Ability to perform filing and record keeping tasks
  • Data entry and word processing skills
  • Well organized
Preferred Job Requirements
  • 5+ years of accounts payable or general accounting experience.
  • Proficiency in accounting software (e.g., SAP, QuickBooks) and Microsoft Office Suite, especially Excel.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to communicate effectively and professionally.
  • Basic understanding of accounting principles and practices.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
This position operates at a professional construction office, requiring the ability to communicate with verbally others on site, in person and over the telephone, ability to read printed materials, signs and directions, stamina to maintain attention despite interruptions, ability to lift, push, pull, carry, handle or feel objects, supplies, boxes weighing up to 25 pounds and reach with hands and arms; climb stairs and/or ladders; balance, bend, stoop, kneel, crouch, crawl, lift overhead, traverse around or otherwise position one's self around the required work and safety requirements to navigating and perform job duties in a safe manner.
