Job Description:

POSITION SUMMARY:

The Office Coordinator will work in a dynamic, team-oriented environment and will provide administrative support to the Team Member Resources group and other departments. You will be a collaborator and partner, for the CK office. The position is expected to apply administrative knowledge and expertise to carry out responsibilities effectively.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Support multiple departments in all administrative functions
  • Ensure documentation is entered and accurately retained in Operating System, maintain company archives as assigned
  • Process in-coming and outgoing mail, including Certified Mail processing
  • Compose correspondence as needed
  • Order supplies and materials as needed for project teams and office
  • Support safety and accounting operations as assigned
  • Coordinate travel arrangements as needed for project teams
  • Responsible for meeting set up and tear down and assist in catering options as needed
  • Schedule and organize appointments; take meeting minutes during departmental meetings
  • Track training sessions and attendees, and assemble all necessary materials for the training session as needed
  • Operate office equipment, such as fax machines, copiers or phone systems and arrange for repairs when equipment malfunctions
  • Provide Front Desk support on a rotating schedule
  • Maintain overall office organization
  • Other administrative duties as needed or assigned from various departments, such as the Works Department, Safety Department

SKILLS AND ABILITIES:

  • Fluent in English and Spanish
  • Proficient with Microsoft Office Suite
  • Excellent interpersonal skills with advanced customer service including effective verbal and written communication skills
  • Ability to work in a fast pace high energy environment
  • multi-task oriented while not losing sight of the details
  • Ability to maintain and handle confidential information within appropriate standards
  • Advanced knowledge of general business and company procedures

EDUCATION AND EXPERIENCE:

  • Associates Degree in Business Administration or equivalent combinations of technical training and experience.1-3 years administrative experience is preferred
