Rotoflowis growing and looking for talented, driven professionals to join our team! We have an immediate opening for anAdministrative Assistantlocated at our Bethlehem, PA facility. This is an exciting opportunity for a highly motivated and high performing individual who aspires to bring a positive impact to the organization.

Principal responsibilities of this position include:

-Acting as the Bethlehem Office Manager.

-Ensure the smooth operation of the organization by supporting the office and manufacturing shop employees with questions/concerns.

-Handling requests in a timely manner.

-Being responsible for expense approvals as well as supplies and contributing to the positive and supportive work environment.

-Proactively handle travel plans and support scheduling for aftermarket services (including passports, visa applications, and travel-related reporting) as needed.

-Additionally, this role will work with the marketing team for team events, as well as facilities initiatives and lead the onboarding process for new employees to ensure a highly efficient process in support of a growing organization.

-Take ownership for the Rotoflow New Equipment division documentation management resources and facilitate communications by acquiring and supplying information as needed.

-Assist leadership teams in the preparation of meetings by owning the presentation materials and dashboards.

-Support the procurement team supplier management, development and relationship building programs.

-This role will also lead the electronic management of change process for engineering and manufacturing in Bethlehem and support the intellectual asset manager processing and presenting new patents in the industry.

-In addition, the assistant will compile organizational reports, audits, employee transfers and position management.

-They will prepare and coordinate organizational announcements and corporate news articles working closely with others in the Rotoflow team to create the communications. As well as develop and maintain multiple SharePoint sites and support Intellectual Property management.

Qualifications:

  • Minimum of 5 years of experience as an administrative assistant
  • Excellent verbal and written communication skills, as well as interpersonal skills
  • Highly proficient in collaboration tool suites such as Zoom, as well Microsoft Office suite of products including MS Teams
  • Experience with Microsoft Sharepoint, Salesforce, MyBuyer and SAP beneficial
  • Organized, detailed, proactive, and adaptable
  • Energetic, positive, efficient, resourceful, responsive, and focused on continuous process improvement
  • Strong relationship management skills with peers, colleagues, and clients
  • Outstanding time management skills, multitasking skills, and the ability to prioritize tasks with minimal direction
  • High level of sound and independent judgment, reasoning, and discretion
