The Proposal Coordinator is primarily responsible for coordinating and developing division-specific proposals for local, state, and federal pursuits. As the Proposal Coordinator, you'll work in close coordination with proposal and production team members, division leads, project managers, and subject matter experts to develop high-quality, winning proposals. This position requires work performed in a dynamic, diverse, and fast-paced team environment.

Essential Duties and Responsibilities

  • Conduct daily opportunity searches.
  • Track proposal efforts from identification through award.
  • Develop proposal overviews and coordinate go/no go decision-making with leadership.
  • Develop and distribute proposal outlines and compliance matrices.
  • Develop, distribute, and consolidate proposal-related data calls.
  • Utilize existing content library and leverage subject matter experts to develop proposal content from start to finish, including writing, editing, production, assembly, and submission.
  • Utilize design templates to create proposal layouts.
  • Ensure the proposal material being presented is consistent with the solicitation requirements.
  • Proofread and edit for proper grammar, spelling, comprehension, and style.
  • Coordinate color reviews of proposals and consolidate input.
  • Attend semi-weekly stand-up meetings to discuss status, schedule, and action items.
  • Manage division-specific pipelines.
  • Update and maintain the project library.
  • Order necessary proposal materials and documents such as bid bonds, reference letters, and other required materials.
  • Additional duties as assigned.

Position Requirements

  • Bachelor's degree in Communications, Marketing, Business, or a related field.
  • 3+ years of directly related experience developing high-quality, high-scoring proposals.
  • Excellent written and oral communication skills and the ability to interact with a variety of individuals.
  • Ability to work both independently and in a team environment to manage multiple tasks.
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
  • Exceptional organizational and time management skills.
  • Attention to detail, including proofreading, grammar, and document formatting.
  • Knowledge of Adobe Creative Cloud Tools a plus, particularly Adobe InDesign.
  • Experience working with Microsoft SharePoint sites desired.
  • APMP Foundations certification a plus.

Physical Demands:

  • Use of manual dexterity, tactile, visual, and audio acuity.
  • Use of repetitive motion, prolonged periods of sitting and standing, and sustained visual and mental applications and demands.
  • Occasional lifting (up to 40 pounds), bending, pulling, and carrying.
