Job Description

The Cath Lab Scheduler is the entry point in providing a welcoming experience for all guests and their families when they arrive. They are responsible for checking in patients for their scheduled procedures while leading with the Springfield Clinic signature experience. Communication between ancillary departments and care teams will be required to ensure smooth patient flow. The Cath Lab Scheduler will be responsible for the daily work of the schedule and general reception duties such as answering phone calls, obtaining records, referring patients for billing concerns, and verifying patient information.

Job Relationships

Reports to the Operations Manager of the ASC Cath Lab

Principal Responsibilities

  • Answer incoming calls, identify the need of the caller, route call to appropriate area and take messages as required.
  • Assist guests with the check-in process, verify demographic and insurance information, and update as needed.
  • Proactively assist guests with a high level of excellence and hospitality.
  • Verify insurance and pre-authorization information as needed.
  • Collect any patient payments and provide accurate receipt. Reconcile balance within department.
  • Refer guests with questions regarding financial liability to appropriate resource(s).
  • Collaborate with onsite departments, and Care Team members to align scheduling effort and assist guests at first point of contact.
  • Drive First Call Resolution on every inquiry by completing all necessary outreach on behalf of the guest or internal customer.
  • Schedule procedures according to provider and patient request, maintaining a high level of accuracy. Identify schedule capacity and analyze availability to maximize efficiency and schedule utilization.
  • Compile required documents while adhering to regulatory/legal requirements.
  • Ensure all documents are ready to be scanned into the patient's permanent medical record.
  • Maintain and monitor all task lists according to departmental guidelines.
  • Ensure confidentiality of patient information.
  • Inform patients of the Clinic's billing and credit policies.
  • Cultivate a learning/teaching environment with team members.
  • Demonstrate and maintain an openness to getting the job done and assisting & supporting team meet departmental goals & objectives.
  • Comply with the Springfield Clinic incident reporting policy and procedures.
  • Adhere to all OSHA and Springfield Clinic training & accomplishments as required per policy.
  • Provide excellent customer service and adhere to Springfield Clinic's Code of Conduct and Ethics Standards.
  • Perform other job duties as assigned.

Education/Experience

  • High School graduate or GED required.
  • BLS/CPR certification per American Heart Association guidelines required within 90 days of hire.
  • A minimum of one year in a medical office/environment preferred

Knowledge, Skills and Abilities

  • Conduct themselves in a professional manner and follow the Clinic dress code.
  • Must have flexible availability to provide adequate coverage.
  • Must possess manual dexterity required for use of keyboard
  • Possess accurate typing and computer skills.
  • Ability to organize and meet deadlines.
  • Possess good communication skills, oral and written.
  • Knowledgeable of medical and procedural terminology.
  • Demonstrates intermediate computer skills and knowledge of computer software programs
  • Ability to work under pressure with accuracy
  • Excellent attendance in previous work environment
  • Effective verbal, written and interpersonal skills
